Email schedules

An email schedule sends a dashboard to a list of people every hour, day or week. Only the owner of a dashboard can create, change, pause or delete its schedules. There is no limit on how many schedules a dashboard can have. Email schedules stays in the header of a dashboard that has no cards left, so you can still delete a schedule that is paused or failing there. Email now is not shown on an empty dashboard.

Create a schedule

  1. Open one of your dashboards and select Email schedules in the header.
  2. Select New schedule.
  3. Type the recipients (up to 20 addresses, any email address).
  4. Choose how often to send: Hourly, Daily or Weekly.
  5. Choose the data window: the last 24 hours, 7 days or 30 days, counted back from the moment each email is sent.
  6. Pick the First send date and time, in your own time zone. It has to be in the future. A weekly schedule repeats on the same weekday and time.
  7. Add a note if you want one (up to 500 characters), then select Create schedule.

The list shows each schedule's frequency, data window, recipients, when the next email goes out, and how the last run went.

note

Times are stored in UTC and shown in your time zone. When daylight saving starts or ends, the send time can shift by an hour.

What the email holds

  • One Excel file with a sheet for each card, up to 5,000 rows per sheet. When a card has more, its sheet and the message say so, for example "First 5,000 of 12,000 rows". To get every row, use Download CSV on the card, which goes up to 50,000.
  • The message itself shows the first 20 rows of each card as a table.
  • Cards are sent as they were pinned. Drill steps and a switched axis are ignored.
  • Charts are not included.
  • Cards with no table to send, such as a timeline card, are skipped, and the email names each one.

When a run fails

A failed run is shown only in the schedule list, under the schedule: the status and the reason. No failure email is sent.

  • If a card cannot be loaded, the email still goes out and names the card that failed. The run is marked failed.
  • If the Excel file is over 3 MB, the email carries the table in the message only and says why. The run is marked failed.
  • If the dashboard has no cards left, or your account is disabled, the run fails and the schedule pauses.
  • If you delete the dashboard, its schedules are deleted with it.

Change, pause or delete

  • Edit changes any setting of a schedule. The First send box starts at the schedule's next send, so saving without touching it keeps the same rhythm.
  • Pause stops the emails without losing the settings. Resume starts them again.
  • Delete removes the schedule after one more confirmation.
